  • Steps to Scheduling and Planning a Mission Trip

 

FIRST, YOU NEED TO KNOW:

In 2014, teams must schedule arriving on Saturday and leaving not later than Friday. In 2015, teams must schedule arriving on Sunday and leaving not later than Saturday. For other arrangements, please call But God Ministries at 601-983-1179.

COST

  1. Each group is responsible for scheduling and paying for flights to and from Haiti.

  2. But God Ministries requires a $100/night fee from each participant.  This fee covers ground transportation to and from the airport and during your stay at Hope Center, lodging, lunch and dinner each day, volunteer missionary travel insurance, translators, etc.

  3. Each person should take $3 per cart and $2 per checked bag to have available when arriving at the airport in Haiti. 

  4. The team leader needs to be prepared to pay $50 - $100 in fees if the group is taking medicine into Haiti.  This fee will be reimbursed by But God Ministries. 

  5. Each person will be required to pay a $10 tourist fee as you enter Haiti.  You must pay with a fairly new, uncrumpled 10 dollar bill that has no marks or writting.

NUMBER OF TEAM MEMBERS 

  1. The Hope Center at Galette Chambon has housing for 24 team members.  Two dorm rooms house 8 each. Two dorm rooms house 4 each.
  2. The Hope Center at Thoman has housing for 28 team members.  Two dorm rooms house 8 each. Two dorm rooms house 6 each.

 TEAM MEMBERS UNDER THE AGE OF 18

  1. If you are planning to have minors from 9th - 12th grade on your team unaccompanied by their parents, you must have 1 adult for every 3 9th - 12th grader, 6th - 8th graders must be accompanied by at least one parent.
  2. All participants under the age of 18, not traveling with both parents, must have a signed and notarized Minor's Travel Permission Form on file at But God Ministries and must have two original copies in their possession during travel. 

 DOCUMENTS REQUIRED BY BUT GOD MINISTRIES

  1. Team Leader Initial Planning Form (to be mailed with $500 deposit)
  2. Team Planning Update Form (should be in the But God Ministry office 45 days before departure)
  3. Participant Information Sheet (for ALL participants)
  4. Participant Release Form (for ALL participants)
  5. Minor's Travel Permission Form (additional form for ALL PARTICIPANTS UNDER 18)
  6. Passport Copy (for ALL participants)
  7. Each doctor, dentist, nurse, veterinarian, and pharmacist must provide the following:
    1. Copy of diploma from school (medical, dental, nursing or pharmacy school)
    2. Copy of annual license

It is the team leader's responsibility to see that ALL FORMS ARE FILLED OUT COMPLETELY AND LEGIBLE.
All forms and fees are due in the But God Ministries office 30 days before departure.  

 

HOW TO SCHEDULE

1. SELECT LOCATION

In 2015, teams will have the option of serving in Galette Chambon or Thoman.  Galette Chambon, area of BGM's first Hope Center, is located about 37 miles east of Port-au-Prince and requires an hour bus ride from the airport.  At this location, there is a medical clinic; dental clinic; medical missionary house; agricultural missionary house; 4 dorm rooms to sleep a total of 24 team members; a church; an orphanage; 40+ houses, most of which house families previously living in one of the tent cities that sprang up in Port-au-Prince following the earthquake, and agricultural plots. Thoman is located in the mountains about 60 miles east of Port-au-Prince and is a 2 to 2 1/2 hour bus trip from the airport. Thoman is presently under construction, but when completed will be similar to the Hope Center at Galette Chambon with the following exceptions:  Thoman has 4 dorm rooms to sleep a total of 28 team members. Houses in Thoman are being built to replace inadequate dwellings belonging to the residents in the area. Thoman will not have an orphanage. Thoman Hope Center will be competed to the point of hosting teams in November of 2014.   

2. SELECT A DATE

Go to "Mission Trips Scheduled."  Choose dates not yet taken. In 2014, teams must schedule arriving on Saturday and leaving not later than Friday. 2. SEND A DEPOSIT AND TEAM LEADER INITIAL PLANNING FORM   

Make a nonrefundable $500 deposit to secure the date you have selected. Make your check payable to But God Ministries and mail it with the completed Team Leader Initial Planning Form to: 1440 N. State Street, Jackson, MS 39202.  When we receive your deposit and Initial Planning Sheet, your date is secured and your deposit will be credited to your group's account.

4. READ ALL MATERIAL IN THE MISSION TRIP SECTION OF THE BUT GOD MINISTRIES WEBSITE.  FOLLOW THE TEAM LEADER CHECK LIST WHILE PLANNING FOR YOUR TEAM.

3. KEEP BUT GOD MINISTRIES UPDATED

  1. At least 30 days before your departure, complete the Team Planning Update Form and mail to But God Ministries. This for is very important for communicating your needs with the staff in Haiti.
  2. At least 30 days from departure, send full payment of fees ($100/night per person, minus $500 deposit) and copies of all participant forms and documents to But God Ministries.
